Data Deletion Instructions

How to request deletion of your personal data from Botify — for customers, end-users, and Meta Platform users.

1. Overview

Botify is committed to protecting your privacy and respecting your right to control your personal data. This page explains how you, as a Botify customer or an end-user whose data we process, can request deletion of your personal data from our platform. This page is also the official Data Deletion Instructions URL for Botify's Meta Platform apps (WhatsApp Business API, Facebook Login, Instagram integrations) in compliance with Meta Platform Policy.

2. Who Can Request Data Deletion

You can request data deletion if you are: • A Botify Customer — Any business, organization, or individual who has signed up for a Botify account at dashboard.botify.in • An End-User — Any person who has interacted with a Botify customer via WhatsApp, SMS, Email, RCS, or Voice through our platform, and whose personal data (phone number, message content, contact details) is stored as part of that customer's communication history • A Meta / Facebook User — Any user who has authorized a Botify-connected Meta App (WhatsApp Business API, Facebook Login, Instagram) and wishes to revoke that authorization and have associated data removed

3. Option A — Self-Service Deletion (Botify Customers)

If you are a Botify customer with an active account, you can delete your account and all associated data directly from the dashboard: Step 1: Log in at https://dashboard.botify.in Step 2: Navigate to Settings → Account → Delete Account Step 3: Confirm your email and password Step 4: Click "Permanently Delete Account" What gets deleted immediately: • Account profile, login credentials, and team members • All contacts in your CRM • All message history (WhatsApp, SMS, Email, RCS, Voice) • Uploaded media files, templates, and chatbot flows • Campaign data, analytics, and reports • Connected integrations (WhatsApp Business API, Meta Ads, Google Ads) Self-service deletion takes effect within 24 hours. A confirmation email is sent to the registered email address.

4. Option B — Email-Based Deletion Request

If you cannot access your account, if you are an end-user whose data is stored by a Botify customer, or if you prefer to request deletion via email, follow these steps: Step 1: Send an email to privacy@botify.in • Subject: "Data Deletion Request" • Include: - Your full name - Your email address and/or phone number - The Botify customer or business name (if you are an end-user whose data is held by a specific business) - The type of data you want deleted (account, messages, contact record, all data) - A brief reason (optional) Step 2: Identity verification • We will respond within 3 business days to verify your identity • For account holders, we may ask you to confirm from your registered email • For end-users, we may ask for additional details that only the data subject would know Step 3: Deletion processing • Once verified, your data will be permanently deleted within 30 days • You will receive a confirmation email once deletion is complete • If your request involves third-party platforms (Meta, Google), we will forward the relevant deletion instructions to those providers as well

5. Option C — Meta / Facebook User Data Deletion

If you authorized a Botify app via Facebook Login, WhatsApp Business API, or Instagram and wish to have your data removed, you have two options: Option 1: Revoke from Facebook Settings • Go to https://www.facebook.com/settings?tab=applications • Locate any Botify-connected app • Click "Remove" — Facebook will notify Botify, and we will delete your associated data within 30 days Option 2: Email Request • Email privacy@botify.in with subject "Meta Data Deletion Request" • Include your Facebook user ID or the phone number associated with your WhatsApp Business account • We will process the deletion within 30 days and send a confirmation Note for End-Users on WhatsApp: If you are an end-customer who has chatted with a Botify-powered business on WhatsApp, you can also directly request the business to delete your conversation history. The business is the data controller; Botify processes the data on their behalf.

6. What Gets Retained After Deletion

Under Indian tax law, GDPR, and industry regulations, a limited set of records must be retained for a specified period even after a deletion request. These include: • Billing & Invoice Records — Retained for 7 years as required by the Indian Income Tax Act and GST regulations • Aggregated & Anonymized Analytics — Usage statistics that cannot be linked back to any individual may be retained for service improvement • Audit Logs — Security-related logs (login attempts, suspicious activity) may be retained for up to 12 months for fraud prevention • Legal Obligations — Data subject to ongoing legal proceedings, court orders, or regulatory investigations All retained data is stored securely, access-controlled, and will be permanently deleted once the legal retention period expires.

7. Deletion Timeline

Here is what you can expect after submitting a data deletion request: • Day 0: Request received (self-service or email) • Day 1–3: Identity verification (email requests only) • Day 4–30: Deletion processing across all systems (production database, backups, third-party integrations) • Day 30: Confirmation email sent to the requester • Day 30+: Only legally-required retained data remains (billing records, audit logs) For Meta Platform deletion requests (via Facebook Settings → Apps), Botify must complete deletion and respond to Meta's webhook within the timeframes specified by Meta's Platform Terms.

8. Your Rights Under GDPR & DPDP Act

In addition to data deletion (right to erasure), you have the following rights under the EU General Data Protection Regulation (GDPR) and the Indian Digital Personal Data Protection Act 2023 (DPDP Act): • Right to Access — Obtain a copy of the personal data we hold about you • Right to Rectification — Correct inaccurate or incomplete data • Right to Erasure (Right to be Forgotten) — Request deletion (as described on this page) • Right to Data Portability — Receive your data in a machine-readable format • Right to Object — Object to processing based on legitimate interests or direct marketing • Right to Restrict Processing — Request temporary suspension of processing • Right to Withdraw Consent — Withdraw previously given consent at any time • Right to Lodge a Complaint — With the Data Protection Authority in your jurisdiction To exercise any of these rights, email privacy@botify.in with a description of your request.
